Welcome to the Diamond
Your first year coaching youth baseball is going to be one of the most rewarding experiences of your life. It's also going to involve more logistics than you expected. This checklist ensures you don't forget anything critical.
Before the Season
Administrative
- Complete background check (required by league)
- Register as a coach with the league association
- Complete any required coaching certifications (first aid, Respect in Sport, etc.)
- Review the league rulebook — all of it
- Introduce yourself to the league administrator
- Confirm your team's roster is complete and accurate
Team Setup
- Schedule and hold a parent/player meeting before first practice
- Collect emergency contact information for every player
- Confirm all players have required equipment (helmet, batting gloves, cleats)
- Assign jersey numbers if the league hasn't already
- Set up a communication platform for the team
- Create your volunteer request list
Planning
- Build a 10-practice plan arc for the season
- Understand fair play rules for your division
- Set up a fielding rotation system
- Plan your first 3 batting orders
- Know where every field is located (drive them in advance!)
During the Season
Weekly Routine
- Send practice/game reminder 48 hours in advance
- Take attendance at every practice
- Record at-bats and results for every game
- Update fielding assignments after each game
- Send a team message within 2 hours of every game
- Check pitching limits after every game — record pitch counts
- Review upcoming schedule for conflicts
Player Development
- Complete a baseline assessment for every player in Week 1
- Set individual goals with each player (or just know them)
- Give every player 1 piece of specific feedback per game
- Track player stats throughout the season
- Award badges or recognition for milestones
Team Culture
- Enforce your team values consistently
- Address poor sportsmanship immediately and privately
- Celebrate improvements, not just results
- Check in individually with struggling players
After Each Game
- Conduct a 5-minute team debrief (2 positives, 1 focus)
- Shake hands with the opposing coach
- Thank your parent volunteers
- Confirm equipment is collected and secure
- Send game recap message to families
- Update any pending pitch count or attendance records
End of Season
- Complete final player assessments
- Prepare end-of-season report for the league
- Order or arrange for trophies/medals if league doesn't provide
- Plan and run a closing day or team celebration
- Send personal thank-you notes (digital or handwritten) to every family
- Complete any league-required paperwork (game sheets, discipline reports)
- Provide feedback to league administration (what worked, what didn't)
- Reflect on your coaching — what would you do differently?
Your First Year Philosophy
Here's the most important thing to remember: the kids remember how you made them feel more than what you taught them.
Make them feel:
- Welcome and valued
- Safe to fail and try again
- Part of something bigger than themselves
- Proud of their growth
Get that right, and the technical stuff will come.

Conclusion
You're going to make mistakes this season. Every coach does — even the ones who've been doing it for 20 years. The measure of a great first-year coach isn't whether you had a perfect season. It's whether your players can't wait to come back next year. Go get 'em.
